Payroll/Accounts Payable Manager

Job Summary/Objective

The Payroll/Accounts Payable Manager reports to the Controller and is a member of the Finance team. He/she will take full ownership of all aspects of the payroll and accounts payable functions. The individual will develop processes and leverage technology to ensure we have strong and efficient processes. He/she will be a strong multi-tasker and independent problem-solver, have excellent communication and project-management skills, work well with others across the team and organization, and be extremely organized.

Key Responsibilities

Payroll

  • Implement an improved payroll process including revamping the time sheet submission for hours worked and PTO time to increase efficiencies.
  • Update payroll records for new pay rates, new benefits and other payroll changes.
  • Manage and maintain checklist of all employee payments according to the policies of the organization and employee contracts.
  • Ensure compliance with applicable laws and payroll tax obligations.
  • Responsible for processing biweekly payroll for all employees including recording of payroll in the financial system.
  • Provide support for the annual salary budget process and the annual financial audit.
  • Develop regular process for FTE and headcount reporting.
  • Produce reports for Affordable Care Act (ACA) reporting and workers comp audit.
  • Responsible for retirement plan processing including calculation of annual employer pension contributions.
  • Provide support for open enrollment process including working directly with benefit vendors.
  • Analyze salary expense variances as requested.

Accounts payable:

  • Manage all vendor responsibilities.
  • Identify opportunities for bulk purchasing and less frequent disbursements to vendors to decrease volume.
  • Responsible for processing biweekly accounts payable including a review of financial account coding to ensure proper matching with budget.
  • Enforce requirements for multiple bids.
  • Prepare ongoing vendor analysis.

Core Competencies

  1. Strong background in payroll, accounts payable and benefits
  2. Experience using payroll systems and accounting software (Paychex, MIP and Intacct preferred)
  3. Highly motivated, able to multi-task and work independently
  4. Enthusiastic about technology and has the drive to bring improvements to processes
  5. Strong organization skills and able to meet deadlines
  6. Good oral and written communication skills
  7. Use of judgement to handle confidential and time sensitive matters

Qualifications

  1. Bachelor’s degree in Accounting
  2. 5-7 years Payroll and Accounts Payable experience
  3. Proficient in Excel and familiar with Microsoft Outlook and Word or equivalent
  4. Ability to learn and effectively utilize payroll system (Paychex)

Other

Full-time, FLSA classification (exempt and not eligible for OT).

Monday through Thursday 9:00am-5:30pm, Friday 9:00 – 4:30pm, or equivalent.
