Membership Associate

Central’s Membership department is responsible for ensuring an excellent membership experience, coordinating the High Holy Days across multiple departments, defining and measuring member engagement, overseeing our membership database, and managing our membership waitlist.

Job Summary

The Membership Associate will contribute to the creation and sustaining of Central Synagogue’s excellent member experience, both directly by providing caring and proactive customer service to our members, as well as indirectly by ensuring that we have accurate and complete member information in our database, surfacing opportunities for improvements, and supporting overall membership department projects and goals.

Reports to: Director of Member Experience

Hours

  • Full-time, FLSA classification, non-exempt and eligible for overtime
  • Monday – Thursday 9am–5:30pm & Friday 9am–4:30pm (or equivalent)
  • Required to work the Jewish High Holy Days: Erev Rosh HaSahanah, Rosh HaShanah (first day only), Kol Nidrei, and Yom Kippur Day, which may fall on evenings and weekends*
  • Expected to work occasional (3–5 per year) evening events in addition to the High Holy Days*

*will earn comp time

Essential Functions

  • Customer service: be empathetic with our congregants in order to proactively and consistently contribute to an excellent member experience; help create a seamless experience for members - make them feel like they’re dealing with family, not a utility

    • Be first point-of-contact by phone and email for solving members’ problems; respond professionally, warmly, and humanly, including urgent, sensitive, and emotional situations
    • Provide information and assistance, and facilitate contact with other staff/departments
    • Develop an understanding of how the work of different teams across the organization fits together to contribute to the overall member experience; always be on the lookout for improvement opportunities
  • Member data: ensure that Central has correct, complete, and up-to-date information about all our members, so that our members feel known no matter which staff person they’re speaking to, and so the organization has thorough and accurate data to make decisions and improvements

    • Enter data accurately
    • Regularly run reports to check own as well as others’ data entry, check for missing data and problem solve to complete
    • Flag obstacles—people or processes—to accurate data-keeping
    • Update member records with new information when received from members or from staff
    • Pull simple reports, or assist other staff with pulling simple reports, as directed, in partnership with CRM Manager
  • Department & project support: support the membership department in functioning efficiently and achieving its short- and long-term goals.

    • Prepare regular status updates of membership for team as directed
    • Assist with filing, mailings, voicemail, and other administrative work for the department
    • Support and staff membership events with team
    • Handle membership administrative workflows such as waitlist communications, Yahrzeit reminders, dues adjustment requests, etc.
    • Promote a member-focused ethos to other teams and departments
    • Support department with projects such as CRM transition, High Holy Days survey, etc.

    Span of Control

    Supervision: This position is not responsible for supervising any staff positions

    Independence: The Membership Associate, after initial training and orientation, will be given general direction from the Director of Member Experience, but is expected to perform most duties and responsibilities independently, guided by policies, precedents, and Central’s values. The Membership Associate will be responsible for checking their own work for accuracy and using judgment to ask questions and escalate issues as needed.

    Impact: The impact of the Membership Associate’s work will be felt across the organization as all staff will rely on the accuracy and completeness of the member information in our database to do their jobs and interact with our congregants. Additionally, the Membership Associate will be an important “face” of the organization when interacting directly with congregants, and will be responsible for representing Central’s values, particularly with potential members.

    Qualifications

    Experience: 1 year successfully working in a customer service role that included in-person customer interaction, e.g., retail, front-desk receptionist, etc. Experience in an office, at a non-profit, and with customers from varied backgrounds preferred.

    Skills & Knowledge:

    • High level of computer literacy required: ability to quickly learn new software, resourcefulness in troubleshooting technical issues
    • Intermediate level of Word and Excel required; Knowledge of CRM/database software preferred
    • Excellent English spelling and grammar
    • Knowledge of Jewish culture, Reform Judaism, or synagogue life helpful but not required

    • Attention to detail & accuracy: you have an eagle eye for typos, you can catch your own mistakes, your “human error” rate is lower than other people’s, you can quickly spot when data is missing or inconsistent
    • Empathy: you’re able to put yourself in others’ shoes, you can “read between the lines” when someone says one thing but means another, you genuinely enjoy helping people
    • Calm/cool under pressure: you handle rude customers by being extra polite, you know how to manage yourself if you feel stressed
    • Superior written and spoken communication: you tailor what you say and how you say it based on the listener/reader and the situation, you ask follow-up questions to make sure you understand and are understood

    Administrative Assistant / Receptionist

    The position reports directly to the Executive Assistant to the Executive Director and works closely with other departments within the Administration team. In this position, the person is the welcoming “face” of Central Synagogue; therefore, needs to be highly organized and a strong communicator with customer service experience. All positions at Central Synagogue require individuals to be a strong multi-tasker, independent problem-solver who also works well under supervision.

    Marketing and Communications Manager

    The Marketing and Communications Manager is responsible for increasing awareness of, driving traffic to, and adding value to Central Synagogue and its offerings by translating program goals into effective marketing communications. Using data, he/she will evaluate opportunities to improve our communications strategy to increase readership and participation in our synagogue. The position will oversee marketing of the following areas: Adult Education including: Core Groups, 20s & 30s, Social Action/Community Organizing, Center for Exploring Judaism, Israel; Membership; and High Holy Days.

    Events and Maintenance Staff Person

    Sets up and breaks down events at the facilities as directed, and performs related work as required. Maintains the buildings interiors/exteriors in a clean and orderly manner; performs a variety of custodial and building maintenance duties as directed. This position is responsible for the safe and daily operations of the facilities.
